Event Planning Terms: What They Really Mean

There are a lot of terms and different ways the industry talks about "Planning". When you are trying to decide what service is right for you, some of the terms may be confusing. In this blog post, I've outlined key event planning terms, explained their meanings, and detailed which services we offer.
Planning vs. Coordination
Planning and coordination are often used interchangeably, but they are quite different. Planning involves creating the event strategy, outlining key players, logistics, and what it takes to make the event happen. In simpler terms, if you need help generating ideas, sourcing vendors and items, and guidance on bringing your vision to life, you need planning. Coordination, on the other hand, oversees the execution and production of the strategy. If you've already made a plan and sourced what's needed to bring it together, you need coordination. When you have created the plan, executed the logistics, and just want to be present while someone takes care of the behind the scenes the day of the event, you need Event Management.
We recognize every event is unique and offer services that meet you where you are in the process. The Royal-Tea is our full-service planning, guiding you every step of the way up to 18 months before your event.
If you've already got the ball rolling and need help tying up loose ends, the Special-Tea service is just right for you. Special-Tea is our partial planning service offering, stepping in 4-6 months before your event to review what you've put together, meet your venue and vendors, and get you to the finish line.
Our Hospitali-Tea service is perfect for those in need of a team to step in and oversee the event the day of. We get started up to 3 months before the event for a smooth handover process.
Planning vs. Design
Planning and design are two different functions. Design focuses on visual details, while planning centers around overall event logistics. Not all planners offer design, and not all designers offer planning.
I am a certified event design professional (IEDP©), allowing us to offer design with the Royal-Tea service or as a standalone service if design is all you need.
Vendors
Let's talk about vendors. Vendors are the professionals that provide the services needed at your event.
It's a common misconception that event planners handle serving food or cleaning at the end of the event, but these are not functions of event planning; they're handled by your vendors.
Key vendors, such as catering, baker, florist, photography, videography, and DJ, need to be booked as soon as you've secured your venue. Day-of vendors, including coat check, valet, and janitorial services, can be booked closer to your event date.
When you need help sourcing all your vendors, the Royal-Tea service is perfect for you. If you've already booked your key vendors and need help sourcing your day-of vendors, the Special-Tea service is where it's at!
